Privacy Policy

This Privacy Policy explains how OhMyOCR (“OhMyOCR,” “we,” “us,” or “our”) handles information when you use our website, web app, browser extension, and related services (the “Service”).
Information we collect
- Account information, such as your email address, name, and profile picture when you sign in with Google.
- Files, images, document text, OCR output, corrections, translations, and export settings that you submit or create in the Service.
- Usage and billing information, such as plan, quota usage, task status, transaction identifiers, and subscription status.
- Technical information needed to operate the Service, such as session tokens, request logs, device/browser information, and error diagnostics.
- Crash reports from the desktop app and browser extension: the error message, the stack trace, the app version, and a coarse platform label such as “macos-aarch64”. They never include your documents, their contents, or their file names, and we strip identifiers such as home-folder paths, email addresses, and tokens before storing them. You can turn crash reports off in Settings → General.
How we use information
We use information to provide OCR, document parsing, file conversion, AI translation, account management, billing, abuse prevention, support, product debugging, and service improvement. We do not sell your personal information. We do not use your uploaded files or OCR results to train our own models without your permission.
Uploaded content and processing
Files you submit are processed on OhMyOCR’s cloud infrastructure, encrypted in transit, and kept only as long as your account needs them. Delivering certain capabilities — recognition, conversion, translation, payments, and email delivery — additionally relies on a small set of specialized subprocessors bound by strict data-processing obligations: they may handle submitted content only to provide the Service, maintain security, comply with law, or resolve support issues, and are not permitted to use your content to train AI models.
Upcoming client apps (desktop and browser extension) will include an offline recognition mode. When offline mode is used, recognition runs entirely on your device: the document is never uploaded and never leaves your computer, and the results are stored only there.
International data transfers
OhMyOCR operates globally. Your account information and the content you submit may be stored or processed in countries other than the one you live in, including countries outside the European Economic Area and the United Kingdom whose data protection laws differ from your own.
Where we transfer personal data out of the EEA or the UK, we rely on appropriate safeguards — an adequacy decision where one applies, and otherwise the European Commission’s Standard Contractual Clauses (with the UK Addendum where relevant) together with the additional measures we judge necessary for the transfer. You can request a copy of the safeguards that apply to your data by emailing [email protected].
If you would rather your documents were not sent anywhere, upcoming client apps will be able to recognise text entirely on your own device. Content processed that way never leaves your device.
Analytics
We use Cloudflare Web Analytics to see how the site and web app are used — page views, referring sites, and coarse signals such as country and device type. It sets no cookies, does not fingerprint your browser, and does not follow you across other websites. What we get back is aggregate traffic data that cannot be used to identify you, which is why you are not asked to accept a cookie banner here.
Payments
Payments are processed by Stripe. We do not store full card numbers. Stripe may collect and process payment details, billing information, fraud signals, and transaction data under its own terms and privacy policy.
Retention and deletion
We keep account, billing, and usage records for as long as needed to operate the Service, comply with legal and tax obligations, resolve disputes, and prevent abuse. Document history — parsing, recognition, comparisons, and conversions — is limited in the product, and you can set how long original files are kept, or delete individual items, in the app. Deleting an item removes its results and the files derived from it. The original you uploaded is removed on the schedule you choose in Privacy settings; if you turn automatic deletion off, originals are kept until you delete them or delete your account. Deleting your account removes everything.
Your choices and rights
You can delete your account and its data at any time from the app: open the account menu and choose Delete account. This permanently removes your account, uploaded files, OCR results, corrections and history, and cancels any active subscription. You can also request access, correction, or export of your account data by emailing [email protected] from the email address on your account. Depending on where you live, you may have rights under privacy laws such as GDPR, UK GDPR, CCPA/CPRA, and similar laws.
Security
We use reasonable technical and organizational safeguards designed to protect information, including private storage for uploaded files, authenticated access to account data, limited retention of task history, and secure checkout via Stripe. No online service can guarantee absolute security.
Children
The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13.
